Managing appointment statuses

Each appointment has a status that shows where it stands: pending approval, confirmed, in progress, completed, cancelled… Agendize provides default statuses, which you can complement with custom statuses suited to your business.

Some statuses are final: once applied, they close the appointment. This article helps you choose the right status and avoid input errors.

Default statuses

  • Pending: the appointment was booked online and is waiting to be accepted or declined. This status only appears when manual appointment approval is enabled.
  • Accepted: the appointment is confirmed.
  • Declined: the pending appointment was declined.
  • In progress: the customer has arrived and the appointment has started.
  • Completed: the appointment took place.
  • No-show: the customer did not show up for the appointment.
  • Cancelled: the appointment was cancelled, by the customer or by your team.

Changing the status of an appointment

  1. In the Appointments module, click the appointment in the Calendar or find it in the List view.
  2. In the detail panel, click the status displayed under the service name.
  3. Select the new status from the list.

For a pending appointment, the Accept and Decline buttons replace the status list. They are available to users whose role includes the Accept or decline appointments right.

Statuses available depending on the appointment time

The list of statuses depends on the time of the appointment:

  • Before the start time: you can set the appointment to In progress, if the customer arrives early, or cancel it. The Completed and No-show statuses are not available.
  • Once the start time has passed: the Completed and No-show statuses become available.
Note
This rule prevents an upcoming appointment from being closed by mistake while the customer still receives their reminders.

Final statuses

The No-show, Completed, Cancelled and Declined statuses close the appointment. Once one of them is applied, the status can no longer be changed from the console: the status field can no longer be edited.

Important
Check the status before applying it. If the customer or patient cancelled their appointment, use the Cancelled status and not No-show: the No-show status is meant for customers who did not show up.
Tip
Applied a final status by mistake? If needed, it can be changed through the Agendize API.

Custom statuses

New

Custom statuses are available from Release 198.

In addition to the default statuses, you can create your own statuses to track the progress of your appointments: "At reception", "To call back", "File complete", "Sale closed"…

Where to find this setting?
Settings > Appointments > Status

Each custom status is one of the following two types:

  • Intermediate: the appointment stays open. You can apply another status to it afterwards.
  • Final: the status closes the appointment. As with a default final status, the status can no longer be changed afterwards.

Use the Final type only for statuses that mark the end of the process (for example "Sale closed"), and the Intermediate type for follow-up steps.

Custom statuses appear in the status list of each appointment, as well as in the generic extraction of appointment booking data.
