Manage your message templates

Templates let you prepare your email and SMS messages in advance and reuse them when creating campaigns. This guide explains how to create, view, edit, and delete your templates.

Prerequisites

Access required: the Communication module requires an active payment profile key.

Where to start: in the left-hand side menu, click Communication, then the Templates tab.

Viewing the template list

The Templates tab displays all message templates available on your account, whether email or SMS.

Each template shows:

  • An icon indicating its type (envelope for email, phone for SMS).
  • The name of the template.
  • The creation date.

The "List (N)" counter at the top of the panel indicates the total number of templates.

To find a template quickly, use the search bar or filters. See the guide The Communication module — Overview for more details on searching and filtering.

Creating an email template

An email template lets you define in advance the name, subject, type (marketing or transactional), and content of an email. You can then select it when creating an email campaign.

  1. Click "New" > "Email" at the top right of the central panel.
  2. The creation form opens in the right panel.
  1. Fill in the following fields (all required):

NameGive your template a clear name so you can find it easily (e.g. "Summer 2026 promotion").
SubjectThe email subject as it will be pre-filled when creating a campaign.
TypeSelect "Marketing" (default) or "Transactional".
ContentWrite the email content in the editor. The toolbar lets you format the text.
  1. To insert a personalised variable in the content, use the "Add dynamic text" drop-down and select the desired variable (e.g. customer's first name). It is inserted at the cursor position.
  2. To add attachments to the template:
    • Click "Choose a file" or drag and drop the file onto the drop zone.
    • Accepted formats: PNG, GIF, JPEG, PDF, up to 5 MB per file.
    • The total size of all attachments cannot exceed 10 MB.
    • Click "+ Attach a new file" to add multiple files.
  3. Click "Save".
    • A confirmation message appears: "The template has been saved."
    • The panel automatically switches to the edit form for the template you just created.
    • The template appears in the list in the central panel.

Creating an SMS template

An SMS template lets you define a short reusable text for your SMS campaigns.

  1. Click "New" > "SMS" at the top right of the central panel.
  2. The creation form opens in the right panel.
  1. Fill in the following fields (all required):

NameGive your template a clear name (e.g. "New product / service").
ContentWrite the SMS text. The "SMS size: X/145" indicator updates in real time.

Important: the limit is 145 characters per SMS. If you exceed this limit, a warning message appears.

  1. Click "Save".
    • A confirmation message appears: "The template has been saved."
    • The panel automatically switches to the edit form for the template.
    • The template appears in the list in the central panel.

Editing an email template

  1. In the Templates tab, click on an email template in the list.
  2. The template is highlighted in the list.
  3. The edit form opens in the right panel, with all fields pre-filled with the current template values.
  1. Edit one or more fields (Name, Subject, Type, Content).
  2. To manage existing attachments:
    • Attached files are shown with a delete icon. Click this icon to remove a file.
    • Add new files via the "Choose a file" button or by drag and drop.
  3. Click "Save".
    • A confirmation message appears: "The template has been updated."
    • The new values are visible in the list in the central panel.

Reminder: the Name, Subject, Type, and Content fields remain required when editing. Saving is blocked if any of them is empty.

Editing an SMS template

  1. In the Templates tab, click on an SMS template in the list.
  2. The template is highlighted in the list.
  3. The edit form opens in the right panel, with the fields pre-filled.
  1. Edit the Name and/or Content as needed.
    • The "SMS size: X/145" indicator shows the current character count as soon as the form opens.
    • It updates in real time as you type.
  2. Click "Save".
    • A confirmation message appears: "The template has been updated."

Reminder: the Name and Content fields remain required when editing. If you exceed 145 characters, a warning message appears.

Deleting a template

You can delete a template directly from the template list in the central panel.

  1. In the Templates tab, locate the template you want to delete in the list.
  2. Hover over the template: a context menu (⋮) appears on hover.
  3. Click the (⋮) menu, then select "Delete".
  4. A confirmation modal appears. Confirm the deletion to make it permanent.

Warning: deleting a template is permanent and cannot be undone. A deleted template cannot be recovered.

Impact on campaigns: deleting a template does not affect campaigns that have already been sent. However, if you try to create a new campaign by selecting a template that no longer exists, it will no longer appear in the selection list.

Things to watch out for

  • Closing without saving — if you close the panel by clicking "X" without clicking "Save", your changes are not saved.
  • Impact on campaigns — editing a template does not affect campaigns that have already been sent. Only future campaigns using this template will reflect the new values.
  • Deletion is permanent — once a template is deleted, it cannot be recovered. Make sure you no longer need it before deleting.
